What does process automation cost?
What affects automation and AI implementation costs: data, integrations, exceptions, task volume and ongoing care.

Describe the work from input to result
Identify where a task begins, what information it needs and what should happen at the end. For example, a document arrives, needed details are extracted and the result goes to a system. This describes a goal, not a fixed architecture or a promise to support a specific tool.
Scale affects delivery and usage
The number and frequency of tasks, documents or requests can change the design and provider costs. Give an approximation in business units. You do not need a token count. When scale is unknown, the estimate should explain its assumed scenario.
Exceptions can require separate work
Clarify what happens with missing data, duplicates, provider failures and unusual tasks. Human involvement depends on the consequences and risk of each action. Different automations need different controls.
When does AI affect the budget?
AI can help interpret text, documents or other variable inputs. Output quality and application limits need assessment. Where ordinary automation is sufficient, there is no need to add AI for its own sake.
Licences, APIs and care are separate
Tools can charge a fixed subscription, usage fees or both. The estimate should separate these from delivery and monthly care, describe its scenario and mark unconfirmed prices. Provider billing through us adds 20%; your own accounts have no agency markup.
Assess the business value
Compare delivery and ongoing costs with work that can actually be reduced. Include exception handling and usage charges. Do not assume that every hour saved automatically becomes a cash saving or additional revenue.
